Workplace the foundation of your company intranet in Microsoft 365 — from the homepage to order in your documents
A configurable homepage for your company intranet and team sites — and at the same time the place from which you set how your document libraries look and how company content is classified. Internal comms, HR or a content administrator manages all of it themselves, without a developer.
Sound familiar?
This is what companies tell us before they deploy Workplace. Not because they're doing anything wrong — but because default SharePoint, Teams and Excel were never built to put the company on one screen and give its content shared rules.
“The SharePoint home page is an empty void.”
The default home page is either blank, or IT assembles it by hand from dozens of tiles. The result looks like a pile of random squares, not the kind of product people are used to from the web.
“I want to post an announcement — and I'm waiting on IT.”
Internal comms needs to publish news or flag an outage. But the person who creates the content can't manage the home page — everything goes through a ticket and a queue.
“Every library looks different.”
Each team set its document library up its own way — different columns, different names, different order. Searching across departments is painful, and nobody knows which document is actually current or who owns it.
“Nobody knows what's confidential.”
Documents aren't labelled at all, so people go by gut feeling on what may leave the building. And when you roll out an AI assistant, you have no way to say which material it must not use.
What Workplace does about it
Five things that finally bring the intranet to life. The complete feature list is below in the details.
Build your own home page, with no developer
Switch on only the sections you want — announcements, news, events, polls, contact list — and arrange them by dragging into a grid. Set your company colours and you're done. And it needn't be only the main intranet: you deploy the same page on a department or project team site too — with its own content and that site's libraries, in your company look.
An empty SharePoint and dozens of hand-assembled tiles a branded home page for the intranet and teams
Announcements and news right in the app
You publish benefit news or an outage notice yourself — intro, image, formatted text, and for announcements even a date when they disappear. News is stored as standard SharePoint news, so you'll also find it elsewhere in Microsoft 365.
News scattered across Teams and email one place where the company sees what's new
Contact list from the company address book
The directory reads straight from your Microsoft accounts — no manual list that someone forgets to update. Search, filters by department and city, and a message on Teams or by email in one click.
Polls, kudos and team mood
A daily question about the mood, a Pulse poll with a deadline, and public kudos that anyone can send. You see results aggregated — with no names against individual votes.
“My day” — your day in one place
The “My day” page puts your meetings, e-mails and tasks on a single screen, with a timeline of the day and work in progress from other EP365 apps. With Private secure AI you can also summarize the day in one click.
The intranet is the shop window.
This is the order behind it.
Company content always goes the same way: every team sets up its library its own way, differently named columns, differently coloured statuses — and nowhere can you tell what's public and what's confidential. Workplace turns that into a setting rather than a clean-up.
Document library templates
You describe once how a library should look — the columns Document type, Status, Area, Owner and Review date, their colours, four views including a tiled gallery, and versioning with drafts. Then you deploy the template onto libraries across selected sites with one button. Already have a library set up exactly right? Turn it into a template in a single click.
Content classification and what stays out of AI
You set up your own classification levels — say Public, Internal, Confidential — with colours and translations, and roll them out as a column into libraries across selected sites. One value can be marked as “out of AI”: the EP365 AI Assistant won't take documents carrying it into company knowledge. You can also list whole sites and libraries for the assistant to ignore.
The fastest route: 30 minutes at a screen.
No company slideshow. We share a screen and click through the app on sample intranet data — you'll see exactly what your people and your content administrator would see.
„At last we have an intranet that looks like a product — and we manage it ourselves, without a single IT ticket. We published our first announcement and a video word from management in a single morning.“
Manufacturing company · 180 employees · HR and internal comms in charge
The solution was running for us on day one, with no developer. We switched on 9 of the available sections, set our company colours and filled in the initial content — internal comms learned to arrange sections in an hour. Within a month we also had the team-site patterns done and the intranet live.
Running on day two.
A finished intranet within a month.
Buying the licence is the easy part. For an intranet to live it needs content, a company look and a team who can run it — and that is exactly what we take you through. From install to go-live.
-
App deployed
We install Workplace into your Microsoft 365. Nothing gets installed on computers, nothing changes in your infrastructure — the solution is running at your place the next day.
-
The intranet takes shape
We fill the page with demo content, set the visual theme to match your brand and arrange the sections into a layout that suits you. Initial training for internal comms or HR is included.
-
Patterns for team sites
We prepare patterns and templates — team-site homepages and document libraries — so departments and projects start out consistent: in the company look, but with their own content.
-
Handover and go-live
We act on the feedback from the first days, hand the administration over to your team and take the intranet live. From then on you run it yourselves — and we're still here through support whenever you need us.
For those who want to know more
Everything that matters in one place — features, a comparison with the alternatives, security, pricing and answers to common questions.
Ready-made home page sections
Announcements, news, a word from management, quick links, events, kudos, welcoming newcomers, polls, life situations, a site map, most-read content and industry news — 23 sections, switch on only the ones you want.
Document library templates
A description of how a library should look: the columns Document type, Status, Area, Owner and Review date, their colour formatting, four views including a tiled gallery, and versioning with drafts. Deploy it in bulk onto libraries across selected sites; for each one you can see whether it has the template and whether it's current. A template can also be made from a library you already have set up your way.
Company content classification
Your own list of classification levels with colours and translations. The Classification column can be added to — and removed from — individual libraries across selected sites. One value can be marked “out of AI”: the AI assistant won't take that content into company knowledge, and you can list whole paths for it to ignore.
Shared settings for the whole of EP365
Workplace is the foundation of the ecosystem — your company logo, name, colour theme, support contact and language are inherited from here into every other EP365 app. Set it once, it applies everywhere; each app can still opt out and go its own way.
A home page for the intranet and individual teams
You deploy the same app on the main company intranet and on the homepage of a department or project team site. Each site has its own content — its own announcements, events and quick links — and a team site additionally gains sections for that site's document libraries and lists. The company look and theme are inherited from the main intranet, so every page keeps a consistent style.
Available in Microsoft Teams too
You add Workplace to Microsoft Teams as a personal app in the left rail or as a channel tab — and it works on mobile in the Teams app. Employees see the company right where they already work during the day.
Drag-and-drop layout
Move sections by dragging, change their widths and add rows. The layout saves itself — no code and no developer. On a narrower screen the columns stack below one another.
Contact list from the company address book
A directory read straight from your Microsoft accounts, no manual list. Each card shows the role, department, email, mobile, location and manager. Filters by department and city, plus Teams chat or email in one click.
Announcements and news without IT
You write and read news right in the app — both editor and reader. An announcement has three levels (info, warning, critical), can be scheduled (from which day it appears) and disappear on its own after a set date. News is stored as standard SharePoint news.
AI assistant writes the news
With Private secure AI you write an article from a brief — the AI drafts the title, teaser and body, can draw on an attached document or image and on company knowledge (with a link to the source it used), and translates it into your other languages right away. You then refine the draft with a single instruction (“expand it”, “make it shorter”, “more formal tone”). Without an AI licence, news is written manually as before.
Polls, kudos and feedback
A daily question with an emoji mood, plus a Pulse poll with a deadline — as single choice, multiple choices or a scale with an average rating. Kudos — public thanks that anyone can send and others recognise with five reactions. The admin sees results aggregated, with no names against votes.
Welcoming new colleagues
Newcomer cards with a photo, role, department and a quote. Message (email) and Say hello (Teams) buttons. The Meet the team today section highlights one particular colleague.
My day — your day on one screen
The “My day” page shows your day in one place — yesterday's meetings and e-mails awaiting a reply, today's schedule on a timeline, and tasks — plus work in progress from other EP365 apps (tickets, follow-ups, documents to approve). With Private secure AI you can summarize the day in one click, including what to start with; without it, a clear listing remains.
Personal profile and recent files
The My activities tab shows your Microsoft 365 profile and recently opened documents. Everyone can edit their own mobile, photo and a few personal fields, with changes written back to the company directory.
Company branding and themes
Ready-made colour presets or your own company colours with a live preview. Fonts and a consistent style across the whole home page — so the intranet looks like yours, not like default SharePoint.
Multilingual content
You write news, announcements and a word from management in several languages — Czech as the default plus any others you switch on. Every employee sees content in the language of their Microsoft 365. Ideal for international teams.
Gateway to the other apps
The home page works as an entry gateway into your whole workplace — from one place you click through to the other EP365 apps and see tasks across them.
Your data stays with you
All content and settings — sections, announcements, news, polls and the layout — stay in your Microsoft 365 environment. No third-party cloud, no data leaving the company.
No new passwords
People sign in with their company Microsoft account. When an employee leaves, IT handles it in one step — blocking the account removes intranet access too.
No background automations
Everything runs straight from the browser on top of your Microsoft 365. No background flows, no dependency on another automation platform for someone to watch over.
Contact list with no risk
If IT doesn't approve access to the company address book, the app keeps working — only the contact list is hidden. No error, no outage of the whole page.
Profile edits are your own only
Through the app an employee edits only their own profile (mobile, photo, a few personal fields). Only an admin with the right role may change the name, role and address — everyone else sees them read-only.
Anonymous polls
Votes in polls are stored aggregated — the admin sees only summary results, not who voted how. Even hundreds of votes stay tidy and put no strain on the environment.
Monthly licence by company size
The monthly subscription depends on the size of your organisation — that is, the total number of users in your Microsoft 365. All sections and tabs are included within your size tier.
Implementation to go-live
The complete rollout from install to handover: demo content, a visual theme matching your brand, the section layout, initial training, patterns and templates for team sites and document libraries, and taking the intranet live — all within a month. The full timeline is in the Rollout step by step section.
Full interface localisation into further languages beyond Czech and English, per-user content personalisation, changes beyond the themes, and content migration from an old intranet.
Support pricing
Consultations, environment adjustments or user support beyond training.
Support is billed per started 15 minutes of work. We always tell you the expected scope in advance.
