PDF without opening applications

Copy a direct link

A readable absolute address of a document, folder or list item — without the sharing dialogue and without touching permissions. With multiple files selected, a link to each one is copied.

Save as PDF and print

Word, Excel, PowerPoint and RTF are converted by SharePoint itself — no external service, no consents. Print opens the print dialogue directly, without opening the application.

Merge a selection into one PDF

Select two or more documents and a single PDF is created in selection order — ideal meeting packs. If any file fails to convert, the action honestly stops.

Send by e-mail

As a link always; as an attachment via a draft in Outlook — nothing is sent automatically, you review the e-mail before it goes out.

Compare document versions

What changed between any two versions — added and removed paragraphs in colour, longer unchanged passages collapsed. On opening, the previous version is compared with the current one right away.

Who has access

A readable permissions summary: inheritance vs. unique setup, people and groups with roles, group members and sharing links including who used them. With a print export. Shown to permission managers only.

Document overview

View counts (total and last 7 days), search index status and content classification including the “no AI” flag. Every section honestly admits when data is unavailable.

Find file copies

Other occurrences of a file with the same name across all of SharePoint — including perfect copies that ordinary search hides. You only see content you have access to.

Sensitive data check

Personal identification numbers, IBANs, payment cards and phone numbers — validated against false positives, with masked findings. The scan runs exclusively in your browser; it does not replace DLP, but it answers immediately.

Send to Controlled documents

Document content stays with you

The sensitive data check, version compare and PDF merging run directly in the signed-in user's browser. Document content never leaves your Microsoft 365 — there is no server it could go to.

No extra permissions

The app requests no admin consent. The only optional exception is sending attachments by e-mail (Mail.ReadWrite) — without approval, sending as a link and everything else works unchanged.

Respects SharePoint permissions

All actions work strictly with the signed-in user's permissions. “Who has access” is visible to permission managers only; publishing to Controlled documents to publication team members only.

Is it really free?
Yes. Quick Actions have no licence, no licence key and no user counting. We provide them free of charge to EasyPortal 365 customers — organisations using any of our applications. If you are not a customer and Quick Actions caught your eye, get in touch — we'll work something out.
What do we need for deployment?
Just an App Catalog in your SharePoint and ten minutes of an admin's time: upload the package, confirm making it available to all sites, and that's it. No per-site installation, no configuration, no automations.
What permissions does the app require?
None to approve. All actions work with the signed-in user's permissions — Quick Actions never help anyone bypass access they don't have. The only optional exception is sending documents as e-mail attachments, which needs a one-time Mail.ReadWrite approval; without it, documents are sent as links.
Where do the sensitive data check and version compare run?
Exclusively in your browser. The app reads the document straight from SharePoint (under your sign-in), takes it apart in browser memory and shows the result — the content is never sent anywhere; there is no server and no AI service. Sensitive findings are additionally shown masked.
Does it work in Microsoft Teams?
Yes — in libraries shown in Teams through the SharePoint interface (library tabs, links to libraries). The native Files tab in Teams does not support third-party extensions — a Teams limitation, not a Quick Actions one.
What if we don't have the Controlled documents app?
Nothing happens — the “Send to Controlled documents” action simply does not appear. Quick Actions detect which EasyPortal 365 applications your tenant runs and only offer actions that actually work.
How do updates work?
By themselves. You upload the package to the App Catalog just once — we ship new actions and fixes continuously and they reach users automatically on their next page load. No redeployments, no interruptions.
