EP365 Life Situations Centre everything for one situation in one place
A knowledge centre sorted by what an employee is dealing with right now — new joiner, holiday, parental leave, business trip, leaving. For each situation, step-by-step guides, checklists, forms and a contact for the person in charge. Instead of searching through folders, one clear signpost. All in your Microsoft 365.
A signpost with the employee's journey through the organisation, a situation detail with the person in charge, an article with a checklist you tick off, and a completion overview for managers. Click the demo to enlarge it.
Sound familiar?
This is what companies tell us before they roll out the Centre. Not because people are clumsy — but because policies, shared folders and chat were never built to advise a person according to the situation they are dealing with.
“The new colleague doesn't know where to start.”
Onboarding is an email relay and links to ten different places. A new joiner spends the first week finding out whom to ask about what — and forgets half of it anyway.
“The holiday procedure? It's somewhere in a policy.”
The guide is in a policy, the form somewhere else, the HR contact in chat. The employee doesn't know everything that belongs to the situation, or whether the version is current.
“HR gets asked about this all the time.”
The same questions: how to handle a business trip, what to do when moving house, where to report a workplace injury. The answers exist, they just aren't in one clear place organised by situation.
What the Life Situations Centre does about it
Five things that save people the most searching and the most questions to HR. The complete feature list is further down in the details.
A signpost by life situation
Instead of searching through folders and departments, employees see the situations they deal with as people: starting, development, everyday work, family, health, change, leaving. They click their situation and have everything that belongs to it together. You manage which situations appear and in what order.
Searching through folders and policies one clear signpost of situations
Step-by-step guides with personal progress
A guide carries a checklist — steps you tick off. Progress is saved for each person separately, so the guide continues where you left off. A “Your progress” card on each situation sums up how much you have done.
A PDF guide nobody finishes reading a guide that remembers where you stopped
A person in charge for every situation
Every situation has a specific contact person — an HR partner, IT support, a health and safety officer. Email and phone one click away. No more guessing whom to actually ask.
HR publishes with approval
An author writes a guide or simply links to an existing document and submits it for approval. The manager gets an email and approves — the author receives a confirmation. Until then, nobody sees the article.
An overview of what people are missing
Anonymous statistics show what people searched for and did not find. You add exactly the content that is really missing — instead of guessing what to write. Articles without a review for more than a year mark themselves “For review”.
The fastest route: 30 minutes on screen.
No company presentation. We share a screen and click through the app on sample situations — you will see exactly what your people and your HR would see.
„Onboarding turned from an email relay into a single checklist. And from the search overview we see exactly what content people still lack — instead of guessing.“
Manufacturing company · 180 employees · managed by HR and internal communications
The rollout took one day, with no developer. We assembled 14 default situations and filled in over 40 guides. HR learned to manage it in a single workshop.
For those who want to know more
Everything that matters in one place — features, a comparison with the alternatives, security, pricing and answers to common questions.
A signpost by situation
14 default situations ordered by phase of the work cycle — starting, development, everyday, family, health, change, leaving. The administrator manages the situations and their order, and popular ones sit at the top.
Guides, checklists and forms
You assemble content from blocks right in the Centre, or simply link to an existing page, document or system. Seven types: guide, checklist, form, video, FAQ, policy, template.
A block content editor
You build a guide from blocks like a construction kit: formatted text, headings, images, videos, highlighted tips and dividers. You upload an image straight from your computer, a video from SharePoint plays right in the article — a Stream or YouTube link is embedded as a card. Blocks can be rearranged freely. No HTML, no developer.
Knowledge for the AI assistant
An approved guide can optionally be published as a Markdown file to your SharePoint library, from where the EP365 AI Assistant reads it with the SharePoint source enabled. An employee then asks in their own words — “what do I need to arrange before a business trip?” — and gets an answer with a link to your guide. Only approved content is published, and the file updates itself with every change. The assistant therefore never cites a draft or an old version.
Content management side by side
You pick a situation and a panel with its content opens right next to it — you edit guides from there, with no clicking through and no loss of context. You can also edit directly from the content: with a button on the situation and guide detail, or a pencil next to each guide in the list.
Step-by-step guides
A guide can carry a checklist you tick off. Progress is saved for each user separately, so the guide continues where you left off. On a situation you see a summary of how many guides you have completed.
People in charge of situations
Every situation has one or more people in charge — specific contact persons (HR partner, IT support, health and safety officer). A card on the situation shows whom to contact and how: email and phone in one click.
Approval workflow with emails
Content moves through the states Draft → For approval → Published. Approvers get an email, and after the decision the author gets the result — including the reason when it is returned. The article stays hidden until approved. Scheduled publication on a given date is optional.
Your journey and a personal overview
An interactive timeline of the employee cycle with a “You are here” indicator. Users follow situations, save articles for later and have a history of recently read ones — all personal, stored under their own account.
Search and a command palette
Full-text search across all guides with filters (situation, department, type, role) and match highlighting. The command palette (Ctrl+K) jumps straight to any screen, situation, guide or person in charge. At the end of an article you also get smartly related guides.
Filters by department, type and role
You browse content not only by situation but also by whom it concerns: department, content type and target role. Everyone quickly finds exactly what is relevant to them.
An overview for administrators
An adoption overview — what is being read, how much is published, how useful the content is. And above all: anonymous statistics of searches with no result show what content people really lack. A compass for what to add first.
“For review” articles
Content that nobody has checked for more than a year marks itself with a “For review” flag. The administrator immediately sees what is probably outdated and what needs going through — so people don't read invalid procedures.
Interface in Czech and English
Users see the language of their Microsoft 365, with a manual switch (the choice is remembered) and a default language from the global configuration. You can also keep the content of situations multilingual.
Your own branding and roles
Theme and colours to match your brand. Administrators and approvers see content management, regular users only browse, search and tick off their progress — everyone sees what belongs to them.
Data in your Microsoft 365
Situations, guides, people in charge and personal progress all stay in your Microsoft 365. Knowledge for the AI assistant is published to your SharePoint library, where your permissions apply. No third-party cloud, no external system for business logic — none of it leaves your environment.
No automation platforms
Everything runs straight from the browser on top of your environment. No background processes, no dependency on another automation platform that someone would have to watch over.
Personal progress for you only
Ticked-off steps, saved bookmarks and followed situations are seen and edited only by the user themselves. Progress is technically separated — nobody else can see into it, even with a direct link.
Emails from your own mailbox
Approval notifications are sent in the name of the person who performed the action — from their mailbox, not from an anonymous address. Without the permission being granted, they are simply not sent and the app keeps running.
An anonymous search overview
Queries with no result are stored without the identity of the person who asked — only the text, count and time. They show what people are missing without tracking who searched for what.
No new passwords
People sign in with their company Microsoft account. When an employee leaves, IT handles it in one step — blocking the account also removes access to the Centre.
Monthly licence by company size
The subscription follows the total number of internal users in your Microsoft 365. All features are included in the price for the given size, with no hidden modules.
Implementation at your company
Installation, a workshop for HR and internal communications, theming to match your brand, assembling the default situations and filling in the initial content.
The exact price depends on the scope of the initial content and customisation. We will send a precise quote after a short call.
Support rate
Consulting, environment changes, content creation or user support beyond the rollout.
Support is billed per each started 15 minutes of work. We always tell you the expected scope in advance.
