Sound familiar?
This is how it looks in many companies for as long as HR matters live in e-mails, spreadsheets and several different places. Not because anyone does it badly — each thing simply lives somewhere else and nobody sees the whole.
“The new starter doesn't know where to go on day one, and their desk isn't ready.”
Onboarding runs on e-mails and a spreadsheet. Who has to do what — HR, IT, the manager, the buddy — is known only to whoever happens to have the spreadsheet open. What was left hanging shows up on the first day.
“Where do I find it, and who do I write to?”
Policies on the intranet, guides in a shared folder, leave in another system, a question for HR by e-mail. Employees don't know where to start, and HR keeps answering the same things.
“Who starts next month, and what is still open?”
The overview is pieced together from a calendar, the mailbox and spreadsheets. Leave to approve, unanswered questions and overdue steps each live somewhere else — HR finds out when someone complains.
What HR portal does about it
Five things where HR portal helps employees and HR the most. The full list of features is further down in the details.
Starting, leaving or a role change, step by step
HR or a manager assigns the situation in the Life Situations Centre, and everyone who has a part in it — the employee, the manager, the buddy, HR, IT — gets their own steps with due dates. On the portal the employee sees it as a journey with milestones, a “You are here” marker and steps for today and tomorrow, alongside the manager, the buddy and whoever assigned the situation. In the HR workspace, HR sees where everyone is and what is still open.
an onboarding spreadsheet and a chain of e-mails one plan, everyone sees their own steps
What is waiting for you — from every app in one list
Documents to acknowledge from Controlled documents, your own Absence requests awaiting approval, a new answer to your question and announcements to confirm. If a source cannot be loaded, the portal says so — it never claims nothing is waiting.

What is waiting for HR today
Four numbers from your apps — overdue assignments, steps for HR, leave to approve and employee questions — with a link to where the item is handled. Everyone sees only the numbers that belong to them.
Ask: the AI or a person
A band on the portal opens the AI Assistant, or a form for a private question to the team that handles it — only the person asking and the solvers see the question. Employees see the status of their last question right in the band.
Announcements with read confirmation
Publish an important announcement with a “Confirm reading” button. In announcement management you then see how many people have confirmed it and who they are.
The fastest route: 30 minutes on screen.
No company presentation. We share a screen and click through HR portal on sample data — from a new starter's home page through a question for HR to the overview of starts and leavers in the HR workspace.
For those who want to know more
Everything that matters in one place — features, a comparison with the alternatives, security, pricing and answers to common questions.
Two pages, one app
The Employee portal is a site for everyone, the HR workspace a private site for HR only. HR portal runs both; they differ in the layout preset. An administrator picks it in Settings; a preset replaces the layout while the section content stays.
Personal overview in the greeting
Under the welcome, one sentence about what is waiting for the signed-in person (“This is day 3 with us…”) and up to three number cards: your start or assigned situations, steps in colleagues' situations, documents to acknowledge, an answer to your question, your buddy and the next event. A card with nothing to show is left out. In the HR workspace, cards for starts, leavers and running group assignments.
Your journey and This week
An individually assigned situation (start, leaving, role change…) as a journey with milestones and a “You are here” marker, with the steps for today and tomorrow below and the people who help — with a Teams chat one click away. Anyone without a journey sees This week: their own steps due within 7 days and the steps that belong to them in colleagues' situations as a manager or buddy. People with nothing assigned don't see these two cards.
Assigned to you
Situations in progress that someone assigned to you — individually or as a group, such as training for a whole department — with progress, due date and your next step. The most urgent come first, the rest are in the Life Situations Centre; a click opens the assignment there.
What is waiting — from your apps
One list across apps: documents to acknowledge from Controlled documents (overdue first), your own Absence requests awaiting approval, a new answer to your question or a question still waiting for one, and announcements to confirm. A row leads to where the item is handled — a question to the Questions & Ideas tab in Workplace once the portal knows its page.
Life situations and HR content
Life situation cards from the Centre in phase colours — from starting to leaving. Ready-made Czech HR content is available to get going: 19 situations, 9 of them with a step plan, and 29 guides. It is loaded into the Centre with a button, only ever adds, and HR fills in contacts, systems and company rules.
The Ask band
On the left a question for the AI Assistant with suggested questions, on the right a private question to the team that handles it, with a response time when the area has one. The question for the AI is copied to the clipboard and the AI Assistant opens in a new tab. A question for a person is created right on the portal and can be linked to directly; answers are given on the Questions & Ideas tab in Workplace.
News, events and people
Site news as a magazine, upcoming events, new colleagues with photos and kudos. The Life Situations Centre can add a new starter from an assigned onboarding to the New joiners section on your intranet's main (hub) site. Quick links to systems and services can be targeted by department, location or role.
HR workspace
What is waiting for HR today, a 6-week calendar of starts, role changes, leavers and family situations, the Starts and leavers board in four columns (Preparing to start, Onboarding, Role change and return, Leaving and parental leave), group assignment progress, the queue, employee questions, quick actions and the HR library.
HR quick actions
Assign a situation, Approve leave, Edit situation plans and Policies — auditor overview go straight to the action in the Life Situations Centre, Absence and Controlled documents; the HR library button goes to your library. An app you don't have gets no button.
Management and look
The Aurora look and a theme inherited from your company hub, an interface in English and Czech, and Ctrl+K search that jumps to a section, an app or an action. Sample data is created only with a button, and an administrator activates new versions in Settings without uploading a package.
Your data stays with you
HR portal stores only its page settings, in a hidden list on the site in your Microsoft 365. Section content (announcements, events, kudos, new joiners, quick links) lives in SharePoint lists on the same site, assigned situations in the Life Situations Centre, requests in Absence. The portal has no server or database of its own.
SharePoint permissions hold the boundary
Everyone sees only the assignments they can access in the Life Situations Centre: their own, managers those of their people, buddies and step owners the ones they take part in, HR all of them. Permissions apply to each item in SharePoint — this is not hiding on screen.
Confidential situations without names
For a confidential situation, such as leaving or parental leave, the portal shows the name only to the assigned person. In the HR workspace only where an administrator turns it on — the HR workspace preset does, which is why it belongs on a site that only HR can access.
The portal shows, the apps decide
The portal does not confirm steps of assigned situations, document acknowledgements or leave requests — every button leads to the app where the item is handled and where its permissions apply. The numbers for HR are shown only to those they belong to.
No new passwords
People sign in with their company Microsoft account. HR portal shares the administrator and content editor roles with Workplace on the same site. When someone leaves, IT blocks the account — and access to the portal goes with it.
Only the licence request reaches us
The app downloads the file with your company identifier and expiry date and checks it in your browser. HR portal sends us no assignments, questions or names; the app code, fonts and the release notes load from our content delivery network. HR portal itself does not call any AI — the AI Assistant is a separate app with its own rules.
An add-on to the Starter package
HR portal is bought together with the Starter package (Workplace, My Documents and the Life Situations Centre) — it is not sold on its own, because assigned situations rely on the Centre and the portal is managed in Workplace. The subscription is based on the total number of users in your Microsoft 365.
The Starter package, HR portal, Absence and Controlled documents for CZK 16,900 / 25,900 / 34,900 a month (up to 25 / up to 70 / up to 150 users, more than 150 individually). Separately it would be CZK 21,000 / 32,500 / 44,500.
Rollout
A flat fee: CZK 44,000 on top of your existing intranet, CZK 66,000 standalone including the hub. It covers the Employee portal and HR workspace sites, loading the HR content into the Life Situations Centre, adapting the situation plans to your company's process, setting up Absence, policy categories in Controlled documents, a question area with its security, roles and HR training.
30 days of the licence free of charge in your own tenant; the rollout is paid as a flat fee. If you order within the 30 days, you pay the licence only from the order date.
Support rate
Consultancy, environment changes, training or user support beyond the licence.
Support is charged per each started 15 minutes of work. We always tell you the expected scope up front.
